Admission, Fee Payment and Withdrawal Policy
ADMISSION POLICY
1. Purpose
Bhavan Vidyalaya, Panchkula is committed to providing a fair, transparent, inclusive, and merit-based admission process in accordance with the CBSE Affiliation Bye-Laws, applicable Government regulations, and the School's vision, mission, and values.
2. Admission to Entry-Level Classes
2A. Class Nursery
Age Eligibility
- The child must have completed 3 years of age as on 31st March of the academic session for which admission is sought.
Admission Procedure
- Admissions are conducted through a fair and transparent Draw of Lots for the approved intake, in compliance with CBSE norms and the School's Admission Policy.
- Admission notifications are published through print media, the School Website, and the School's official social media platforms. Thereafter, all updates regarding the admission process, schedules, and subsequent phases are communicated through the School Website.
2B. Class Lower Kindergarten (LKG)
Age Eligibility
- The child must have completed 4 years of age as on 31st March of the academic session.
Admission Procedure
- Admissions are conducted through a Draw of Lots for Sibling & Alumni Category only, subject to the availability of vacant seats.
- Admission notifications are published through print media, the School Website, and the School's official social media platforms. Thereafter, all updates regarding the admission process, schedules, and subsequent phases are communicated through the School Website.
2C. Class IX
Admission Procedure
- Admissions are conducted through an Entrance Test, subject to the availability of vacancies.
- Admission notifications are published through print media, the School Website, and the School's official social media platforms. Thereafter, all updates regarding the admission process, schedules, and subsequent phases are communicated through the School Website.
- Eligible applicants are required to appear for and qualify the Entrance Test conducted on the notified date to assess grade-appropriate learning outcomes.
- A merit list is prepared based on the candidates' performance in the Entrance Test and is published on the School Website. Only shortlisted candidates are invited to complete the admission formalities, subject to the availability of seats.
2D. Class XI
Admission Procedure
- Admissions are conducted only against stream-wise available vacancies through an Entrance Test.
- Admission notifications are published through print media, the School Website, and the School's official social media platforms. Thereafter, all updates regarding the admission process, schedules, and subsequent phases are communicated through the School Website.
- Eligible students are required to qualify the Entrance Test conducted on the notified date and fulfil the School's academic eligibility criteria for the chosen stream.
- A merit list is prepared based on the candidates' performance in the Entrance Test and is published on the School Website. Stream allocation is based on merit, eligibility, and availability of seats.
3. Admission to Other Classes
3A. Admission to Classes I–VIII
- Admissions are considered only against vacant seats, if any, primarily arising due to student withdrawals or transfers.
- Applicants are required to demonstrate grade-appropriate learning outcomes.
- Preference: Subject to fulfilment of the School's academic eligibility criteria and availability of seats, preference shall be given to:
- Siblings of students presently studying in the School.
- Students seeking admission due to the transfer of their parent/guardian, particularly in Government, Defence, PSU, or other transferable services.
- Children of Bhavan's alumni.
- Any other category as approved by the School Management in accordance with applicable regulations.
3B. Admission to Board Classes (Classes X & XII)
- Admissions to Classes X and XII shall be considered only in job transfer cases, subject to the availability of seats. Such admissions will be granted strictly in accordance with the CBSE Examination Bye-Laws, Direct Admission Guidelines, and other applicable CBSE regulations.
- The applicant must fulfil all eligibility criteria prescribed by CBSE for Direct Admission to Class X / XII.
- Eligible students are required to qualify the Entrance Test on the notified date and fulfil the School's academic eligibility criteria.
4. Admission of Children with Special Needs – CWSN
Bhavan Vidyalaya, Panchkula is committed to providing an inclusive and equitable learning environment for all learners, including Children with Special Needs (CWSN), in accordance with the CBSE Affiliation Bye-Laws, the Rights of Persons with Disabilities (RPwD) Act, 2016, and the National Education Policy (NEP) 2020.
- The School promotes inclusive education by providing equal opportunities to eligible Children with Special Needs (CWSN), subject to the availability of suitable seats, appropriate infrastructure, resources, and support services to meet their individual educational needs.
- Parents are encouraged to share relevant medical, psychological, or assessment reports during the application process to enable the School to determine the availability of appropriate support services.
- The School has a dedicated Special Educational Needs (SEN) Team, comprising qualified special educators and counsellors, to identify, support, and monitor the academic, social, and emotional needs of students requiring additional support.
5. General Guidelines
- Submission of a Registration Form or an Application for Admission form does not guarantee admission.
- All admissions are subject to the applicant meeting the eligibility criteria prescribed by the CBSE, and the School, and to the verification of original documents and the authenticity of the information furnished by the Parent/Legal Guardian.
- The School reserves the right to refuse or cancel admission if any information or document is found to be false, incomplete, or misleading.
- The decision of the Admission Committee and the School Management shall be final in all matters relating to admissions.
- The School reserves the right to amend this policy in accordance with CBSE directives, Government regulations, or institutional requirements.
FEE POLICY
- The fee structure of the school is revised every year as and when necessary. The School Management reserves the right to revise the fee charges without prior notice.
- The fee structure for all the classes is given under mandatory disclosure on school website.
- The payment of school fee can be done either on monthly basis or quarterly basis, however, in both the cases the fee has to be paid before the 15th day of every month.
- All school fees must be paid exclusively through the school's ERP portal using the student login credentials. Any other mode of payment shall not be accepted.
- For new admissions, all fees once paid are non-refundable, even if the student does not join the school or withdraws before the commencement of classes. Only the School Security Deposit, if applicable, is refundable in accordance with the school's policy.
WITHDRAWAL POLICY
Procedure:
- Parent/ Legal Guardian desirous of withdrawing his/ her ward must submit a duly filled Withdrawal Form in School Office in person. No other mode of intimation i.e. letter, email or verbal intimation or any other type of document, is considered a valid withdrawal notice.
- A written notice of one calendar month is required for withdrawal. Failure to do so will result in one month's fee being charged. Exception may be made in case of a sudden transfer of Government or Military personnel or under exceptional circumstances.
- In case of cancellation of a new admission before the academic year begins, one month school fee and the Admission fee will be deducted from the amount paid by the parent and the security deposit will be refunded within 15 days of receiving such application.
- All outstanding dues, including unpaid fee should be cleared by the Parent/ Legal Guardian before submitting the withdrawal form.
- The withdrawal is processed within 7 working days from the date of withdrawal form submission, subject to clearance of all dues and completion of the prescribed formalities.
- The withdrawal documents and student's testimonials i.e. Transfer Certificate, Progress report card, recommendation letter or any other withdrawal related document will only be issued after all dues are cleared from: Accounts Department, Class Teacher, Library, Sports In-Charge, lab in-charges & canteen.
- Withdrawal documents may be collected from the School Office on working days during the notified office hours.
- After withdrawal or completion of the course, only the security deposit is refunded without interest, after the payment of all dues, if any, through a crossed cheque or A/c Payee cheque, which can be collected by the Parent/ Legal Guardian from the school office on the indicated date. The refund of security deposit should be claimed before the closure of the session.
GROUNDS FOR EXPULSION
The school reserves the right to ask a Parent/ Legal Guardian to withdraw his/ her ward for unsatisfactory holistic record or repeated detention in a class. The School reserves the right to remove a student from its rolls, with due intimation to the Parent/Legal Guardian, on the following grounds:
- Disciplinary Misconduct: Serious or repeated indiscipline, bullying, violence, wilful damage to school property, contempt of authority, or any conduct detrimental to the safety, discipline, or reputation of the School.
- Prolonged Absence: Absence from school for more than six consecutive days without prior approval or written intimation may be treated as voluntary withdrawal, and the student's name may be struck off the rolls. Re-admission, if permitted, shall be subject to the School's rules and payment of the prescribed re-admission fee.
- Offensive or Non-cooperative Behaviour by Parent/Legal Guardian: The School reserves the right to discontinue the admission of a student if the Parent/Legal Guardian engages in abusive, threatening, or consistently non-cooperative behaviour towards School staff or repeatedly violates School rules and policies.
